Collecting Diagnostic Interviews

Learn how interviewees reach an interview, how to follow a live Diagnostic as answers arrive, why an interview can be held out of the analysis, and how to close or reopen a collection.

Platform access level: Org Admins and Managers. Arist enables Diagnostic for your organization before it appears in the sidebar.


Once your Diagnostic is launched, you can share interview access, follow progress, and collect the input needed for analysis. This guide covers inviting interviewees, reviewing incoming interviews, and concluding or reopening collection.


1. Share interview access

Each cohort has its own web link and phone number on the Active tab. Interviewees open the link or call the number themselves. Arist never places outbound calls.

Use the copy controls beside the cohort’s link or number to include it in your communications. Check that each group receives the access details for its cohort.

Send invitations through Microsoft Teams

The Invite participants feature must be enabled for your organization. Contact your Arist Customer Success contact if you would like to use it.

When available, you can send invitations through Microsoft Teams:

  1. Select Invite participants on the cohort tracker.

  2. Choose the interview role in Role if your plan uses named roles.

  3. Select individuals in Users and groups in Cohorts.

  4. Continue to review the audience summary and Delivery method.

  5. Optionally add a Message.

  6. Select Send invitations.

The invitations are sent and the invitation window closes.

If Microsoft Teams is not enabled for the team, the window asks you to enable it in the delivery method settings before sending invitations.


2. Track interviews as they arrive

Open Active to review progress for each cohort and inspect individual interviews.

Progress counts interviewees. Multiple calls attached to the same interviewee record count once, so repeat calls do not normally increase the number of people contributing to the analysis.

A returning caller can sometimes appear under a second record if their name is transcribed differently. If you find two records with the same phone number that belong to the same person, ask the project chat to merge them, then confirm when the chat asks. This brings their calls together and prevents the person from being counted twice.

Interviews marked Excluded from analysis do not count toward analysis readiness.

Patterns shown during collection are preliminary. Concluding collection finalizes the patterns, so use the live view to follow emerging themes while interviews are still coming in.


3. Add more interviewees while collection is open

You can invite more interviewees during collection by sharing the appropriate cohort link or phone number. If Microsoft Teams invitations are enabled, use Invite participants to select additional individuals or cohorts.

New interviewees join the existing collection. Adding them does not reset the cohort or restart interviews already in progress or completed.

The invitation control is unavailable when there is no active interview round or when interviews have been concluded. To collect more input after concluding, reopen the Diagnostic first.


4. Check excluded interviews

Open an interview marked Excluded from analysis and look for Excluded reason.

When a reason is available, it explains why the interview was left out of the analysis. If no reason was stored, the interview displays No reason recorded for this exclusion.

Review the interview content alongside the reason before deciding whether you need more input from that cohort.

Transcript downloads depend on your organization’s access and the availability of the download control. If the control is available, you can download the individual interview transcript.

Bulk interview exports also require transcript-download access. Access to a generated export is limited to the team that owns the Diagnostic. If an export is unavailable, check your active team and contact your administrator or Arist Customer Success contact for help.


5. Conclude interview collection

When you have gathered the input you need, review collection progress and check for interviews still in progress.

Important: Concluding collection closes all open sessions and stops new responses. Any call in progress will end, so check active interviews before confirming.

Select Conclude interviews in the top bar and review the Conclude interviews? confirmation. It explains:

“This closes all open sessions and stops new responses. The agent finalizes patterns, scores confidence, and assembles the full findings report.”

Choose:

  • Keep collecting to leave interviews open.

  • Conclude & generate insights to close collection and proceed with analysis.

Once collection is concluded, the patterns become final. Continue with Reviewing Diagnostic Findings and Reports to explore the findings and work with the report.


6. Reopen collection when you need more input

You can reopen a concluded Diagnostic to collect additional interviews while retaining the transcripts and findings already gathered.

Ask the project chat to relaunch interviews, then confirm when the chat asks. If the project is back on the Draft tab, select Relaunch interviews there and confirm in the Relaunch these interviews? dialog.

Relaunching reopens the interview web links and restores phone access for the cohorts still included in your plan. Phone numbers depend on when you reopen and whether the cohort remains in the plan:

  • Within two days of concluding: The cohort keeps its existing phone number.

  • After two days: The previous number has been released, and a new number is issued.

  • If the cohort’s role was removed from the plan: Its previous number is not reopened or replaced.

Check the current access details before sharing another invitation, particularly if collection has been closed for more than two days.
