New User Onboarding for Running a Diagnostic

Learn what Arist Diagnostic does, what your organization agrees to before running one, the three tabs a research project moves through, and how interviewees reach an interview.

Platform access level: Org Admins and Managers. Arist enables Diagnostic for your organization before it appears in the sidebar.

This onboarding guide takes you through your first Diagnostic, from getting access and creating a project to collecting interviews and reviewing the results. Each section introduces a stage and links to the detailed instructions for completing it.

Arist Diagnostic combines AI-led voice interviews with your organization’s data to produce findings and a report.

Tip: Before creating your project, read Best Practices for Running a Diagnostic. It helps you plan the question you want to explore, who to involve, how to support participation, and how you’ll use and share the findings.


1. Review the terms and confirm access

Your organization must accept the Arist AI Diagnostic Pilot Terms before using Diagnostic. An Org Admin with authority to accept on the organization’s behalf completes this step. If you are a Manager and see a request to accept the terms, contact your Org Admin.

The terms cover five responsibilities:

  • Employment decisions: Diagnostic output cannot be the sole or deciding basis for hiring, promotion, termination, compensation, discipline, or performance evaluation decisions.

  • Informational use: The output does not replace legal, HR, compliance, safety, or investigative advice.

  • Appropriate use: Diagnostic is not an emergency channel or a formal intake channel for HR, legal, compliance, ethics, misconduct, or workplace safety concerns.

  • Interviewee notice: Give any required notice and get any required consent before interviewees take part, including that the interview is AI-led.

  • Data restrictions: Do not provide protected health information (PHI) or other regulated data unless a separate written addendum permits it.

Important: Arist does not monitor, investigate, escalate, or report interview content after collection. Your organization is responsible for deciding how to act on that content. Arist also does not use Diagnostic content to train, retrain, or fine-tune models without your organization’s written consent.

Once access is enabled, open Diagnostic from the sidebar. Until your organization accepts the terms, they appear before Diagnostic opens. If you cannot access it, contact your Org Admin or Arist Customer Success contact.


2. Create and set up your project

Each Diagnostic belongs to one team. Your project board shows projects for your active team. If no team is active for you, ask your administrator to add you to one.

Select New diagnostic to create a project and open the setup conversation in Draft. Describe what you want to understand and provide relevant organizational data. The conversation helps you refine the objective and develop an interview plan.

During setup, you’ll choose who to interview, review the questions, and configure the interview experience. Follow Setting Up a Diagnostic for the full walkthrough, including previewing the interviews, approving the plan, and launching.

Your project moves through three stages: Draft for setup, Active for interview collection, and Results for analysis and reporting.


3. Share access and collect interviews

After launch, your project moves to Active. Each cohort has a web link and phone number for starting an interview.

Interviewees open the link or call the number themselves. Arist never places outbound calls.

Before sharing access broadly, test the interview on the devices and network your interviewees will use. Follow Diagnostic - Firewall Testing for the access checks, and share Taking an Arist Interview to help interviewees understand the experience.

Use Collecting Diagnostic Interviews to share access, monitor progress, manage collection, and conclude interviews when you’re ready for analysis.


4. Explore the findings and prepare your report

In Results, review the analysis and the evidence behind the findings, then prepare your report.

Follow Reviewing Diagnostic Findings and Reports to explore the outputs and create a report you can review with relevant stakeholders.
