Platform access level: Org Admins, Managers, and Distributors (anyone who delivers courses).
A learner's profile is the record Arist uses to deliver content. Keeping the learner's address and other metadata up to date helps ensure content is delivered as expected.
The Learners page brings learners and cohorts together under two tabs, plus an Activity tab for Org Admins. It opens on All learners, and the Cohorts tab takes you to the groups you deliver to. From the All learners tab you can find any learner, add new ones, check how they receive content, update their details, and manage every course they are enrolled in.
1. Finding a learner on the Learners page
Select Learners in the sidebar under People.
The page opens on the All learners tab, which lists every learner with their name, the cohorts they belong to, and the platforms they can receive content on. Select the Cohorts tab to work with cohorts instead, where Create cohort starts a new one and Managing Cohorts covers the rest.
Search and filter: Search by name, or select the plus button beside the search box to filter by delivery method or cohort. Each filter appears beside the search box. Select it to change its values, remove it individually, or select Clear all to remove every filter.
Download: Export the learner list as a CSV. It carries each learner's profile fields, including name, account email, timezone, language, preferred delivery method, external user and manager IDs, address types, and cohorts, plus a column for every metadata field your organization has defined. The export covers every learner your current search and filters match, and a link at the bottom of the page opens the file when it is ready.
Add learners: Add learners yourself, without a cohort upload. Choose Enter manually for one person, or Upload CSV for a file of them.
Row menu: The three-dot menu at the end of a learner's row offers Analyze, Edit, and Delete. Analyze opens the Analytics page filtered to that learner, Edit opens their profile, and Delete asks you to confirm before removing them.
If your organization uses teams, the Learners page shows only the team you have selected, and that applies to every role including Org Admins. A learner who belongs to another team appears on that team's list instead. Switch teams with the selector at the top of the sidebar, and select the Default team to see every learner in your organization on this page. Enrolling those learners stays scoped to one team at a time, as Scheduling and Delivering Courses explains. (Teams is in Beta.)
Try it: Search for your own name and open your profile.
Reviewing activity across your organization
Org Admins can select the Activity tab on the Learners page to review recorded learner and cohort changes across the organization.
Use Date to choose a date range. Entries are grouped under Today, Yesterday, This week, and Earlier. Select All learners or Cohorts to return to the list you need.
Note: The feed shows recorded actions. Earlier changes may not appear.
2. Adding learners to your organization
Select Add learners on the Learners page to add one learner at a time, or a whole file of them, without a cohort upload. Org Admins and Managers can do this. The first step asks how you want to add them and where they go.
How do you want to add them? Choose Enter manually for one person, or Upload CSV for a file of them.
Team: If your organization uses teams, choose the team these learners join. When you are already working in a team, that team is filled in for you. The Default team is not one of the options, and leaving the field empty adds the learners to your organization without a team.
Also add to cohort: Choose a cohort to add these learners to at the same time.
Select Continue to move on.
Choosing Enter manually opens a form that asks for the Account email first and checks it against your organization.
Nobody has that email: Enter First name, Last name, an Address type, and the matching Address, then select Add learner. The address is required and the names are not.
A learner already has that email: Arist names them instead of creating a second record, and the button does whatever is left to do: Add to team, Add to cohort, or View learner when they are already where you were putting them.
Someone in your organization has that email but is not a learner yet: Arist names them, and finishing the flow makes them a learner.
The address you enter already belongs to someone else: Arist keeps that address where it is and links you to the record that holds it, so you can update that person instead.
When your organization does not require an account email, Continue without an email adds a learner who has none.
Choosing Upload CSV adds four steps, and nothing reaches your organization until the last one.
Choose file: Upload a CSV or Excel file, up to 50 MB. Download a template CSV file gives you the columns Arist expects, with example rows filled in.
Preview your data: Arist shows the file as it read it. Turn First row contains column names on or off to match your file.
Map columns: Match each column to a learner field or an existing metadata field. Your organization’s settings determine which fields are required. Columns you leave unmapped are ignored. Arist suggests mappings from your column headers and offers the mapping from your last import.
Import: Review the number of learners imported and any reported errors or warnings. An import can succeed for some rows and fail for others. Correct the failed rows before importing them again.
Select Finish to return to the learner list. Successfully imported learners remain selected so you can act on them together. The search and filters reset, and the selection count includes imported learners across all pages.
If your organization uses teams, this happens only when you added the learners to the team you are working in, or when you are working in the Default team. Otherwise, the list reloads without selecting them.
If your organization allows it, you can use account emails to match existing learners without including delivery-address columns; see Managing Organization Settings for the requirements.
Arist matches each row against your organization, on the account email first and then on the delivery address. Two rows for the same person update one learner instead of creating two records.
Check the names, timezone, and language in your file before you import. For a row that matches a learner you already have, the First name, Last name, Timezone, and Language in your file replace what their record holds.
A delivery address that is new to them is added alongside the ones they already have, and the import reports it as a warning. A delivery address that already belongs to someone else is an error, and that row is not imported.
Successfully imported learners are added to the team and cohort you chose in the first step.
3. Selecting and acting on multiple learners
Select the checkbox next to one or more rows on the Learners page to act on them together.
A bar at the bottom of the page names how many learners you've selected, for example 10 learners selected. Next to the count, a link offers to select every learner your current search matches, across every page, for example Select all 28 learners across all pages. If you had searched for something first, that link selects only the learners the search found, not everyone in your organization.
Choosing that link updates the bar to name the same total instead, for example 28 learners selected across all pages, and swaps the link for Clear selection. An X at the end of the bar clears the selection at any point.
Selecting across pages: Moving to another page keeps your selection. Changing the search, filters, or sort order clears it.
Deleting selected learners: Open the three-dot More actions menu on the bar and select Delete. Review the number of learners in the confirmation before proceeding. Deleting more than 1,000 learners runs in the background, with a progress bar followed by the result, including any failures.
Use Bulk edit to update metadata or Add to cohort to add the selected learners to an existing cohort. Open More actions for Create cohort and Delete. Org Admins working in the Default team can also create a team from the selection. When working in another team, Remove from team is available.
Create a cohort from the Learners page
You can create a cohort directly from the learners you select.
Open Learners in the sidebar and select the All learners tab.
Use search or filters to find the learners you want.
Select the checkbox beside each learner. To include every matching learner across pages, select Select all … learners across all pages on the selection bar.
Open the three-dot More actions menu on the bar and select Create cohort.
Enter a Name that isn’t already used by another cohort in your organization.
Optionally choose a Preferred timezone.
Select Create cohort to confirm.
Your new cohort contains the selected learners. Open the Cohorts tab to find and manage it.
If you’ve just uploaded learners, successfully imported learners remain selected when you finish the import, so you can start at step 4. This applies when you’re working in the Default team or imported the learners into the team you’re currently viewing.

4. Editing metadata for a whole selection
Select Bulk edit on the actions bar to change metadata for every learner in the selection at once. The modal names how many learners the edit covers, then lists every metadata field your organization has defined.
Leave a field alone: Every field starts on Leave unchanged. Arist writes nothing to that field.
Set a value: Choose Set to… from the drop down and enter the value. Arist writes that value to every learner in the selection.
Empty a field: Choose Clear. Arist blanks that field for every learner in the selection.
Under each field name, Arist reports what the selection already holds in that field. That reading covers every learner in the selection, not only the rows on screen.
Reading | What it means |
All match | Every learner holds the same value, and Arist names that value. |
No values | No learner in the selection holds a value. |
Mixed | Learners hold different values in a Date or Boolean field. |
3 values | Learners hold different values in a Text field, and the number counts how many values the selection holds. |
Select Save to apply the edit. The button becomes available once at least one field is on Set to… or Clear. A field left on Set to… with no value entered keeps Save unavailable.
Important: Editing a metadata field that a team or cohort rule uses moves learners into or out of that team or cohort. Check the rules in Managing Cohorts first.
When you select every learner across all pages, the edit reaches the learners your current search and filters match. Clear the search and filters first to reach the whole list.
A bulk edit covers up to 1,000 learners at a time. For a larger group, narrow the list with the search or filters and work through the group in batches.
5. Reviewing the learner profile
Select a learner to open their profile.
The Profile section puts everything about how this learner receives content in one place.
Account details: Arist holds the learner's name, account email, timezone, language, delivery preference, and external user ID. The account email is the identity Arist matches on, so a repeat upload updates this learner instead of creating a second one.
Delivery addresses: A learner can receive content on more than one delivery method, and each one appears here with the address Arist sends to, like a verified phone number for SMS. When you enroll them, you pick which of these addresses receives the course.
Cohorts enrolled in: Every cohort this learner belongs to appears here. Cohort membership is what puts a learner in a schedule's audience, so this is where you check why a course reached them.
Each delivery address shows the learner’s connection state separately from whether your organization has enabled that delivery method. Check both when investigating missing messages.
An opt-out applies to the sending address assigned to one of the learner's enrollments. It does not necessarily mean the learner cannot receive any future content through that delivery method.
Reviewing activity
Scroll to Activity at the bottom of the profile to review recorded changes involving the learner, including imports, metadata updates, and team membership changes. Filter by date or event type to find the change you need.
The history can include activity from before the learner joined your team. Access follows your current permission to view that learner.
Note: Older activity may be incomplete. An event missing from the history does not necessarily mean it never happened.
Select Learners in the sidebar to return to the All learners tab.
6. Updating learner details and team membership
Select Edit in the Profile section to update the learner's delivery addresses and metadata, for example when a learner changes phone numbers. Arist delivers to the address on this screen, so when a learner stops receiving lessons, this is the first place to check.
The Language field stores the learner's preferred language. If a course is offered in more than one language, that preference determines which version the learner gets. If it is not, the learner gets the course's default language. A regional variant such as French (Canada) falls back to French when only French is offered.
An Org Admin or Manager can set the learner's Language, and a CSV upload, survey logic, or an automation can set it too. Learners cannot edit this field themselves. On a course offered in more than one language, a learner can switch one enrollment's language from Manage enrollment in Arist Messenger when your organization allows learners to manage their own enrollments, as covered in Managing Organization Settings.
If you change a learner's Language and they have enrollments that can deliver in the new language, saving opens Update enrollments too? and shows how many enrollments can switch. Choose Update enrollments to move those enrollments to the new language from their next message, or Keep current languages to leave them unchanged.
Metadata is the extra information on a profile beyond contact details. Any extra columns in a cohort CSV upload become learner metadata automatically, and that metadata can be used by team rules, cohort rules, and automations.
Tip: Learner metadata can also trigger enrollment automatically, like enrolling every learner whose Department equals Sales. See Setting Up Automations.
Changing team membership
Select Edit on the learner’s profile and use Teams to choose the teams they should belong to. To move a learner, deselect the previous team and select the destination team, then select Save. Both membership changes happen in the same save.
The field lists the teams you can manage. The Default team is not selectable because it provides organization-wide visibility rather than membership you assign.

7. Managing the learner's enrollments
The Enrollments section of the profile lists the learner's current, completed, and cancelled enrollments, with the course, delivery address, dates, and status for each.
Check the status: The Status column shows where each enrollment stands. See Understanding Enrollment Statuses for what each status means and how to act on it.
Manage an enrollment: Open the three-dot menu on the right side of an enrollment row. Manage opens the enrollment itself, and the other items act on it where it stands: Start, Pause, Resume, Prioritize, Resend, Rewind, Re-enroll, Revoke link, Send opt-out notification, Cancel, and Complete. Each one appears only while it applies to that enrollment.
Enroll the learner: Select Enroll to add the learner to a course without leaving the profile. If the learner has more than one delivery address, you choose which one receives it.
On a course offered in more than one language, the same menu also shows Change language while the enrollment is still active.
Selecting Change language opens Change enrollment language. Choose the new language in the Language field, then select Change language. The learner receives that enrollment in the new language from the next message, and only that enrollment changes.
If your organization uses teams, these actions follow the team you are working in. When the learner belongs to another team, the action does not go through and a message says so. Switch to a team that learner belongs to, or to the Default team, and the same action works. This applies to every role, Org Admins included.
Revoking an enrollment link
If an enrollment link has been shared with the wrong person, open the enrollment’s three-dot menu and select Revoke link. Review and confirm the action.
Arist replaces the link without sending the learner a message. Use Resend afterward to send a message containing the replacement link.
Important: Revoking a link cannot be undone. Copies of the revoked link stop working. A link in a message sent before Revoke link was available still opens the enrollment.
8. Checking delivery for one enrollment
Open an enrollment to see exactly what the learner has received.
The enrollment page shows the delivery method, delivery time, and timezone, the learner's course progress, and a message log with every message sent and when. If a learner reports a missing message, this log is where you confirm what went out, and Resend last message sends it again.
Choose Manage from the enrollment row's three-dot menu to open this page.
